Materials Needed

  • Airbill
  • FedEx letter envelope, FedEx pak, or box
  • Clear plastic pouch to adhere airbill to pak or box (not necessary for FedEx letter)

Most FedEx materials can be found in the top drawer of the file cabinet located in the faculty/staff mail room. Boxes are located in the department supply room; see the receptionist for supply room key.

How to fill out the Domestic U.S. Airbill

1. FROM

  • date
  • your name
  • your phone number
2. YOUR INTERNAL BILLING REFERENCE INFORMATION

This is the authorized source of payment. Use:

  • the name of the project you're working on (ex. GRIP, nano, etc.)
  • or the name of the professor who has asked you to send the FedEx

3. TO

  • Recipient's name (Note: telephone number is REQUIRED)
  • Recipient's company/institution
  • Recipient's address

*Don't check the HOLD boxes unless you specifically want the recipient to pick up the contents at a FedEx office instead of at their place of work.

*Don't check the SATURDAY DELIVERY box unless you can confirm that the recipient will be at work on a Saturday to sign for it.

4a. EXPRESS PACKAGE SERVICE
Check the box that represents best when you'd like your package to arrive to the addressee. There are no universal rates for the mailing options! Each FedEx cost is determined by both delivery deadline AND the distance traveled.

NOTE: FedEx First Overnight is HUGELY expensive ($40-$50). Avoid it! Since the cost difference between 2Day and 3Day service is infinitesimal, opt for 2Day.

4b. EXPRESS FREIGHT SERVICE
Don't check anything here.

5. PACKAGING
Check the appropriate box.

6. SPECIAL HANDLING
Don't check anything here unless you're shipping dangerous goods (i.e. dry ice).

7. PAYMENT
Check the box "Bill to: Sender." You don't have to fill anything else out.

Total Charges, etc., does not require your attention. Leave this blank for FedEx to fill in.

8. RELEASE SIGNATURE
If you need to verify who accepted the FedEx package, DON'T sign. That way FedEx will be required to get the receiving person to sign for it upon delivery.

What to do When Your Package and Airbill are Ready
AIRBILL

  1. Take the top copy of the airbill (it says Sender's Copy) and put it in the Accounting Manager's mailbox (currently Catherine Perry).
  2. Take the rest of the airbill and attach it to the FedEx shipping material:

  • for FedEx letter - put it in between the plastic front
  • for FedEx pak or boxes - put in the clear plastic pouch (for DOMESTIC LOCATIONS) and adhere to pak/box or use the blue-striped pouch (for INTERNATIONAL DESTINATIONS). Plastic pouches are kept in the top filing cabinet drawer in the mail room.

FedEx pickup locations and times

For Personal Use
Since FedEx provides their shipping material at no cost to the department, you can use the supplies; however, use the blank airbill forms (without the department's account number) located in the top filing cabinet drawer. Fill everything out as noted above, except for #7 Payment. Check the box for credit card and then fill in your card number on the line below.

How to Send Video Tapes
If you're sending multiple video tapes, it is recommended that you use the FedEx box (kept in the supply room) instead of the FedEx pak. It will keep your paper from getting wrinkled and offer greater protection to your tapes. Put your paper in a folder and place it along with your tapes in the box. If there's extra space in the box and you think your tapes will shift around during the trip, pack it with wads of paper balls or some bubble rap or something to stuff in the box.

Sending More than one Package to a Single Destination
Even if you're sending them all to the same place, each package you FedEx must have its own tracking number, so a separate airbill is required for every one. Another alternative is ordering a "Multi-Piece Shipping Label" from FedEx. You will still have to put a label on every box you're sending, but you only need an airbill on one of them. You can pick up a Multi Piece Shipping Label at the FedEx office (see directions above), or order one by calling FedEx at 1-800-463-3339. It will take two to three days to arrive.
