    Commencement Ceremony AV Checklist

    The following list was used in Chapman 211 May 2007 and should be used as a guide for future Commencements in Chapman.

    • Schedule an AV run through with power point and other presentations, sometime the week before commencement.
    • A facilities staff will need to be available before and during the ceremony to operate the A/V and power point presentations.
    • Check with student services assistant (Tricia Robinson) for a parking pass to be used the day of Commencement.
    • Obtain power point slide show from publications manager for showing 1 hour before ceremony starts. Slides should be set to loop.
    • A power point presentation of recent Animations was also shown before the ceremony. Provided by Greg Welch.
    • The Chairman provided a power point presentation of slides used during the ceremony.
    • Audio of "Pomp & Circumstance" played as graduates entered the room and "Carolina in my mind" was played at the end of ceremony as people were leaving. These files are located at http://video.cs.unc.edu/audio/
    • A laptop was set up on the front row, seats A1 and A2. Have the student services assistant place a reserved sign on these. The laptop cables located at the front podium were extended to make the connection. Items needed are 25' VGA cable and 25' 1/8" audio cable. Power is proved at each seat. Securely tape down cables across the floor.
    • The front network computer, integrated into the touch panel was used to play the pre-ceremony slide show. This computer was also used to play the audio files.
    • A laptop was used to play the animation files, as the front network computer was not adequate for the larger animation.
    • The laptop, located on the front row, was also used for the power point slides used during the ceremony. This will allow the facilities staff member to operate the slides without having to stand at the front of the room during the ceremony.
    • A stand or other item needed to hold the Lavlier microphone at the podium, so that microphone does not have to be passed off to each speaker.
    • Place a new battery (9V) in the wireless microphone.
