Visitor Checklist
Checklist of items to take care of when faculty members are hosting visitors.
Not all items may apply to every visit.
- Attendees
- Visitors: Get name, title, and affiliation
- UNC Participants: Get name and contact info (e-mail, phone)
- Nametags for all (Nametag Templates)
- Agenda. Download Sample Agenda (MS Word File)
- Transportation Arrangements (if needed)
- Hotel Room Reservations (if needed)
- Meeting Room Reservations (Sitterson Hall). Use Meeting Maker.
- Colloquium Announcements. If the visitor is going to present a talk, reserve a room (usually Room 011), and send information about the time, date, room, speaker's name, speaker's affiliation, title of talk, and host's name to: Research Support and Communications (rsac@cs.unc.edu), who will prepare a colloquium announcement, and to the Department Calendar coordinator, (deptcal@cs.unc.edu) for inclusion in the on-line calendar.
- Grocery Items. May be charged at Harris Teeter with appropriate grant and account number.
- Refreshment Set-Up in Sitterson Hall (Breakfast and Lunch)

- Lunch and/or Dinner Reservations Off Campus
- Confirm time and attendance count
- AV Equipment. Contact help@cs.unc.edu
- Demo(s). Hosts must get principal investigator's permission for demos of projects not their own, unless it is a regular demo day. Demo coordinator will help organize demos (843-7420, rsac@cs.unc.edu).
